How to book, step by step

Everything happens by email, from the form on this page to the final documents. Here is what we need from you at each step, what you get back, and when money changes hands.

The sequence

Send the form
Month or dates, how many of you, the occasion, the hotel level. Anything else you know helps but is not needed.

Receive a route and a quote
A day-by-day plan matched to the season, hotels and boats by name, the celebration options each hotel offers, and an itemised price.

Change what you like
Swap a beach, cut a city, add a night. We re-quote each version. Nothing is booked yet and nothing is owed.

Confirm and pay the deposit
When you are happy, we send booking terms and payment details. Hotels and boats are reserved once the deposit arrives.

After that, before you travel, we send the final documents: vouchers, the day-by-day plan with driver and guide names, the celebration details in writing, and the tipping guide.

What we need from you, and when

We do not need passport scans to quote. We ask for passport details only when something has to be booked in your name.

Payment, changes and cancellation

The deposit amount, the date the balance is due, the accepted payment methods and the conditions for changes and cancellation are set out on your written quotation. We send them again with the written confirmation, and nothing is booked until you have accepted them.

One practical point for celebration trips: some hotel arrangements, such as a dinner on the beach or a specially ordered cake, are booked with the hotel only in the final weeks. We confirm them in writing when they are booked, and if a hotel later declines a set-up — because of weather, a private event or a local rule — we tell you at once and offer the nearest alternative.

Visas

Visas are your responsibility and depend on your passport. Vietnam, Cambodia and Laos each run an official e-visa portal: evisa.gov.vn, evisa.gov.kh and laoevisa.gov.la. Apply only through the official government portal; look-alike sites charge extra for the same document. We tell you which countries on your route need a visa for your nationality when we quote.

Keeping it a surprise

Planning a honeymoon or an anniversary for someone who does not know yet is common. We write only to the address you give in the form and never copy anyone else in without asking. If the trip is a surprise, say so in the notes field; we will keep hotel confirmations in your name and send the documents to you alone.

The one limit: passport names and dates of birth for both travellers are needed before hotels, boats and flights can be confirmed.

Questions travellers ask most

How far ahead should we book?

For the Lunar New Year and the December holidays, as early as you can; resorts and boats fill first. For other months, a few months ahead is usually enough, though the specific villa or cabin you want may go sooner.

Do we pay anything before we decide?

No. Quotes and re-quotes are free. Payment starts only when you confirm.

Can we book flights through you?

Internal flights, yes — they are part of the quote. International flights we leave to you, and we plan the trip around their times.

What if our dates change after booking?

Tell us as soon as you know. What can be moved without cost depends on each hotel's and boat's own rules, which we show you before you confirm, together with our own terms on the written quotation.
